This notice explains what information we collect, why we need it and what happens to photographs uploaded to Your Living Memories.
Who is responsible for your information?

Information we collect
- Your name, email address, telephone number and order reference.
- Photographs, artwork, replacement files and the instructions you give us.
- Information about enquiries, approvals, payments, correspondence and delivery.
- Basic technical and security information needed to operate and protect the website.
A recognisable person in a photograph may be personal data. Please upload only material you own or have permission to use.
Why we use it
We use this information to assess your request, provide a quotation, create and deliver your animation or restoration, take payment, provide support, prevent misuse and meet our legal and accounting obligations.
Our lawful bases
We mainly process customer information because it is necessary to take steps at your request and perform our contract with you. We also use information where necessary for our legitimate interests in running and securing the service, and where the law requires us to retain records.
Who may process it
We use carefully selected website hosting, secure file storage, payment and AI image or video-processing providers. They receive only the information needed to provide their part of the service and must handle it securely. We do not sell your photographs or personal information, and we do not use customer photographs in advertising without separate permission.
International processing
Some technology providers may process information outside the UK. Where this happens, we use providers and contractual safeguards intended to give the information appropriate protection under UK data-protection law.
How long we keep it
Unsuccessful enquiries and their uploaded photographs are normally removed within 90 days. For completed orders, uploaded photographs, working copies and finished files are normally kept for up to 12 months so we can provide downloads and support. Please download and safely store your finished files rather than relying on the order page as permanent storage.
You may ask us to remove photographs and working files sooner, unless they are needed to resolve a dispute or meet a legal obligation. Removing those files does not necessarily remove the basic order, payment and correspondence records we must retain. Essential transaction and accounting records may be kept for up to six years. We may retain less information for longer where it has been anonymised.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, objection or transfer of your information. You may also complain to the Information Commissioner’s Office at ico.org.uk. Contact us first if you can—we would like the opportunity to put things right.
Security and children
Order pages are private and should not be shared. We use reasonable technical and organisational safeguards, but no online system is completely risk-free. Our service is for adults. An adult uploading a photograph of a child must have the authority to do so.
